"Do I need a PMS or a channel manager?" is one of the most common questions we hear from hotels setting up their tech stack for the first time — and the honest answer is that they're not competing products, they usually work together. Here's the plain-English difference.

What a PMS (Property Management System) does

A PMS is the operational hub for running your property day to day. It typically handles:

  • Front desk operations — check-in, check-out, room assignment
  • Housekeeping status and room readiness
  • Guest folios, billing and invoicing
  • Internal reporting on occupancy, revenue and staff tasks

What a channel manager does

A channel manager has one job: keep your rates and availability identical and up to date across every OTA you sell on, plus your own website, so you never oversell a room or show a mismatched price. It doesn't manage your front desk or your housekeeping — it manages your distribution.

So do you need both?

If you sell rooms on more than one OTA — which is true for almost every hotel beyond the smallest guesthouse — yes, you need a channel manager, full stop. Whether you also need a separate PMS depends on your operation: a small property might run fine on a lightweight PMS or even manual front-desk processes, while a larger one genuinely needs both working together, with the channel manager pushing live availability from the PMS out to every OTA automatically.

The mistake to avoid is assuming one replaces the other. A PMS with no channel manager still means manual OTA updates and overbooking risk. A channel manager with no PMS still leaves your front-desk operations disconnected from your booking data.
