An overbooking means two guests arrive holding a confirmation for the same room. It is stressful for your front desk, awkward for the guest, and it usually ends in a bad review, a refund or an expensive relocation to another hotel. For small and mid-size properties, it is one of the most avoidable operational problems.
Why overbooking happens
Almost every overbooking comes down to a delay or a manual step somewhere:
- A room is sold on one OTA, but availability is not reduced on the others until someone remembers to do it
- A phone or walk-in booking is written in a register and never entered into any OTA
- Room blocks for maintenance or a group booking are set on one channel but not the rest
- Different staff members update different channels at different times
Fix 1: One source of truth for availability
Decide on a single place where your room inventory lives, and make everything else read from it. In practice this means a channel manager: when a room is booked anywhere, availability drops instantly on every other channel. Fix 2: Enter every offline booking immediately
Phone, WhatsApp and walk-in bookings need to go into the same system as online ones, straight away, not at the end of the day. If your team works from a shared dashboard, this takes seconds and closes the biggest gap in most hotels.
Fix 3: Keep a small buffer on peak dates
On festival weekends and long-weekend peaks, consider holding back one room from OTA inventory. It gives you a cushion for last-minute issues, such as a room that becomes unusable, and it can be released the day before if it is not needed.
What to do if it still happens
Act early. Contact the guest as soon as you notice, offer a comparable or better room at a partner property, cover the difference and confirm in writing. Handled quickly and honestly, a guest is far more likely to forgive it than if they discover the problem at the front desk.
